Creating Opportunities: Program Managers

How Program Managers create volunteer Opportunities

❖ Heads up! This article is intended for Program Managers—a role available only on Amplify sites. You may also see this role referred to as Advanced Program Manager; both terms refer to the same user type.

By the end of this article, you will be able to:

  • Create a new Opportunity for volunteers

  • Configure scheduling, capacity, and Qualifications

  • Customize visibility and engagement settings

Create an Opportunity

  1. Navigate to Volunteerism > Opportunities.

  2. Click Add New Opportunity.

  3. Complete the Opportunity form.

  4. Click Create Opportunity.

ℹ️ Note: Emojis are not supported in description fields (including emails, profile descriptions, or Opportunity descriptions). Using emojis may cause formatting issues or prevent content from saving correctly.

Duration types and descriptions

Duration Type

Description

Flexible

Use this duration type when you want to indicate a specific expiration date for the Opportunity

e.g., Let's reach our home-build goal by December 31!

Happens On

Use this duration type when you have an Opportunity scheduled on a specific date

e.g., We need 20 volunteers to stuff back-to-school backpacks on August 1!

Notifications for Happens On Opportunities will display the time for it as follows: 12 am - 11:59 pm.

Multi-Date

Use this duration type when you have Opportunities that run on multiple consecutive days

e.g., Our Secret Santa Workshop needs some helper elves on December 15, 16, and 17th!

Custom Shifts

Use this duration type when you want to set up Opportunities with shifts that occur on the same day or on different days at different times

e.g., Tutors needed for 2.5-hour shifts at Hopeful Heart Elementary School, Tuesday between 3 pm and 6 pm, and Thursday between 8 am - 3 pm.

Recurring Shifts

Use this duration type if you have Opportunities with shifts that occur at the same time daily, weekly, or monthly

e.g., Happy Paws needs Dog Walkers on Mondays, Wednesdays, and Fridays between 8 am - 12 pm.

Changing the duration after publishing may cause data issues. Clone or create a new Opportunity if needed.

Promotions and Sharing

You have the option to share your Opportunities with companies and organizations using Volunteer Link. This is a great way to build connections and community in your area.

  1. Scroll to the Promotions and Sharing section of the Create or Update Opportunity form.

  2. You can set this Opportunity to Public or Private.

    • Public means anyone can access the Opportunity on the site.

    • Private means you must share the Opportunity for people to access it.

  3. Select an Initiative, if applicable.

  4. Check the boxes beside the Promote this opportunity on field if you wish to share it through Volunteer Link.

Additional Options

We offer additional options to help you personalize your Opportunities.

  1. Scroll to the Additional Options section and expand the dropdown to access these additional fields..

  2. Complete each field as applicable in this section.

  3. Be sure to click Create or Update Opportunity to finish.

Description

Allow Team Registration?

  • Check Yes to allow volunteers to respond to this Opportunity as a team.

  • Check No to disable this option.

  • Select Teams only if you only want teams to respond to this Opportunity.

Minimum & Maximum Age fields

Set the minimum or maximum ages allowed to participate in this Opportunity.

Note: This only informs them of the age restrictions; it does not restrict volunteers from responding to the Opportunity if they aren't within those limits.

Family Friendly?

  • Check Yes if this is a family-friendly Opportunity.

  • Check No if it is not family-friendly.

  • Leave N/A if this does not apply.

Outdoors?

  • Check Yes if this Opportunity happens outdoors. You'll be given an option to include an inclement weather plan if you select Yes.

  • Check No if this Opportunity happens indoors.

  • Leave N/A if this does not apply.

Wheelchair Accessible

  • Check Yes if the location where the Opportunity takes place has wheelchair access.

  • Check No if the location does not have wheelchair access.

  • Leave N/A if this does not apply.

Attributes

Use the Attributes field to share additional important information with volunteers, e.g., wear clothes you don't mind getting dirty, or we will serve refreshments at 2 pm.

Tags

Tags help Site Managers sort and find Opportunities. These are not visible to volunteers.

Clusters

If a Site Manager has created Opportunity clusters for their site, then you can select from this dropdown. Clusters help Site Managers sort Opportunities. They are not visible to volunteers.

Additional Notification Recipient(s)

Toggle On if you wish to include email addresses for individuals you want to receive notifications about this Opportunity (e.g., a notification is triggered when a volunteer responds to it).

Be sure to enter each email address on a separate line.

Comments

Comments are kept private between the Site Manager and the Advanced Program Manager. These are not visible on the front end of the site.

Clickwrap Waiver

Add a clickwrap waiver when you don't require a signature for a volunteer to be qualified to respond to the Opportunity.

Note: Clickwrap waivers can only be uploaded as .pdf types. Volunteers will be able to review the waiver and check a box stating they have read and agree to the waiver.

Boosting Volunteer Engagement

With the Description field, you can build excitement around your Opportunities. This is a chance to draw attention to what the Opportunity is and how volunteers will contribute to your mission. You can:

  • Share the impact, goals, mission, and purpose of that Opportunity and the Program it's connected to.

  • Explain volunteer roles and responsibilities.

  • Attach images or add links to videos or other online content that tells your story!

  • Have fun editing the text with the editor to draw more attention to the Opportunity.
