How Volunteers Use the Kiosk
Once the kiosk is launched, volunteers can check in for volunteer shifts! Volunteers can check in for shifts they have already responded to or sign up for shifts through the kiosk.
The kiosk only displays shifts for that day.
Volunteers Who Responded to a Need or Opportunity Shift
If the volunteers have already responded, their names appear in a list when the Need or Opportunity shift is selected in the kiosk. Volunteers must select This is me by their name to check in.
Volunteers Who Haven't Responded to a Need or Opportunity Shift
If the volunteers haven't responded, they can when they check in.
Volunteers select the Need from the list in the kiosk.
Click Sign up.
Enter a valid email address.
Click Sign up.
If the volunteer has a registered account on your site, their name appears, and they can click This is me to confirm.
If the volunteer doesn't have a registered account on your site, they can enter their First and Last name and click Create account to create one.
Once they confirm their account or create one, they can click This is me > Check in now to finish.
How Volunteers Check Out
Checking out is as simple as checking in.
Volunteers select the Need from the list in the kiosk.
They click Check out by their name.
Click Check out now to finish. Their hours are automatically recorded after they click Check out now.
Kiosk Notifications
Volunteers will still get the usual messages when they respond through the kiosk, plus a few extras when they create a new account.
Regular responses: They’ll receive the standard notifications, including the “Need Response Thank You” message.
New accounts: If a volunteer signs up while responding, they’ll also get a follow-up email with steps to complete their profile and handle any required Qualifications.
The new-account email is automatic and can’t be edited or turned off.
The Check-in Kiosk FAQ
Q. How are unverified hours handled in the kiosk?
A. Unverified hours, such as when a volunteer misses their check-out, require manual approval from administrators for accountability and accuracy.
Q. Can administrators manually enter hours for volunteers?
A. Yes, if volunteers bypass the kiosk, administrators can log a volunteer’s hours manually in their profile without recording specific check-in or check-out times.
Q. Why don't I see my Needs or Opportunities in the kiosk?
A. There are a couple of reasons why the kiosk might not display your Needs/Opportunities:
The kiosk only displays Needs or Opportunities for the day it is launched.
The kiosk only displays Needs or Opportunities from the Agencies selected when the kiosk is launched.
Needs or Opportunities with the Flexible or Is Ongoing duration types will appear each time the kiosk is launched.
Q. What happens if I have private Needs or Opportunities in the kiosk?
A. If a Need or Opportunity is Private, you can assign it to a User Group. Only volunteers who are part of that User Group or who receive an invite link to the private Need or Opportunity will be able to sign up and check in or out of it through the kiosk.
Q. Why am I getting a link-expired error message when I try to launch the kiosk with my launch link?
A. The Kiosk Launch Link expires daily. You can acquire a new Launch Link by going through the initial steps to launch the kiosk again.
