Heads up! This article is only intended for Site Managers.

Checking volunteers in and out for shifts is quick and easy with the Check-in Kiosk—just launch it and let it go! Volunteers can find their scheduled shifts, sign up for new ones, create an account, and check in—all in one place.

ℹ️ So you know: Some sites may have language overrides in place, e.g., you might see Needs in place of Opportunities, or Agencies in place of Programs.

Setting Up the Kiosk

You can add a personal welcome message that appears on the front page when the kiosk is launched.

  1. Go to Settings > Hours.

  2. Scroll to the Check-in Kiosk section.

  3. Enter your welcome message in the Kiosk Front Page Message field.

  4. Click Update Settings to save your changes.

Launching the Kiosk

  1. Log in to your Site Manager account.

  2. Click the Check-in Kiosk button from your top menu bar.

  3. Use the Show Needs From dropdown to select which Agencies you want to show Needs from in the kiosk. To show all, select All Agencies.

  4. Click Build Kiosk.

  5. Select Log Out & Launch Kiosk.

You can also click Copy Kiosk Launch Link to share the kiosk with someone else so they can launch it on their device. We recommend sharing this only with other Site Managers or trusted individuals. Agency Managers can launch the kiosk directly from their profiles. Remember, launching the kiosk will log you out of your account.

Please note that the Kiosk Launch Link expires daily.

How Volunteers Use the Kiosk

Once the kiosk is launched, volunteers can check in for volunteer shifts! Volunteers can check in for shifts they have already responded to or sign up for shifts through the kiosk.

The kiosk only displays shifts for that day.

Volunteers Who Responded to a Need or Opportunity Shift

If the volunteers have already responded, their names appear in a list when the Need or Opportunity shift is selected in the kiosk. Volunteers must select This is me by their name to check in.

Volunteers Who Haven't Responded to a Need or Opportunity Shift

If the volunteers haven't responded, they can when they check in.

  1. Volunteers select the Need from the list in the kiosk.

  2. Click Sign up.

  3. Enter a valid email address.

  4. Click Sign up.

    • If the volunteer has a registered account on your site, their name appears, and they can click This is me to confirm.

    • If the volunteer doesn't have a registered account on your site, they can enter their First and Last name and click Create account to create one.

  5. Once they confirm their account or create one, they can click This is me > Check in now to finish.

How Volunteers Check Out

Checking out is as simple as checking in.

  1. Volunteers select the Need from the list in the kiosk.

  2. They click Check out by their name.

  3. Click Check out now to finish. Their hours are automatically recorded after they click Check out now.

Kiosk Notifications

Volunteers who respond to an Opportunity through the kiosk receive the usual notifications, including the "Need Response Thank You" message.

If a volunteer creates a new account while responding through the kiosk, they’ll also receive a notification with instructions to complete their profile and take any additional steps, like submitting a Qualification response, if needed.

This notification for new account registrations through the kiosk cannot be edited or turned off.

The Check-in Kiosk FAQ

Here are some commonly asked questions and answers about the kiosk:

Why don't I see my Needs or Opportunities in the kiosk?

There are a couple of reasons why the kiosk might not display your Needs/Opportunities:

  • The kiosk only displays Needs or Opportunities for the day it is launched.

  • The kiosk only displays Needs or Opportunities from the Agencies selected when the kiosk is launched.

Needs or Opportunities with the Flexible or Is Ongoing duration types will appear each time the kiosk is launched.

What happens if I have private Needs or Opportunities in the kiosk?

If a Need or Opportunity is set to private, you’ll need to assign it to a User Group. Only volunteers who joined your site ahead of time or are part of that User Group will be able to sign up and check in or out for that Opportunity through the kiosk.

Why am I getting a link-expired error message when I try to launch the kiosk with my launch link?

The Kiosk Launch Link expires daily. You can acquire a new Launch Link by going through the initial steps to launch the kiosk again.
