Private User Notes: Program Managers

How Program Managers manage private user notes

❖ Heads up! This article is intended for Program Managers—a role available only on Amplify sites. You may also see this role referred to as Advanced Program Manager; both terms refer to the same user type.

By the end of this article, you will be able to:

  • Access the Notes area of a user’s profile

  • Add, edit, or delete private notes

  • Understand who can view private notes

About Private Notes

Private notes allow Program Managers and Site Managers to document important information about a user.

Notes may be used to record:

  • Scheduling restrictions or limitations

  • Attendance history

  • Certifications, licenses, or additional skills

Private notes are:

  • Visible only to Site Managers and Program Managers with access to the user’s profile

  • Not visible to the user

Access the Notes Area

  1. Go to Volunteerism > Users.

  2. Search for and select the user’s name.

  3. Click Notes.

Add a Private Note

  1. Click Add Note.

  2. Enter your note.

  3. Click Save Note.

Edit a Private Note

  1. Click the pencil icon in the Options column.

  2. Update the note.

  3. Click Save Note.

Delete a Private Note

  1. Click the X in the Options column.

  2. Confirm your selection.
