Information for Agency Managers about editing volunteer Needs

❖ Heads up! This article is only intended for Agency Managers. Agency Managers are only available on Center sites.

By the end of this article, you will be able to:

  • Edit an existing volunteer Need

  • Notify volunteers when updates are made

  • Understand limitations when changing duration types

Editing an Existing Need

  1. Go to My Agency > Needs.

  2. Select the Need you want to edit.

  3. Make any necessary changes on the Edit Need page.

  4. Click Update Need to save your changes.

Best Practice: Notify Volunteers of Updates

If volunteers have already responded to the Need, it is a good idea to notify them when important details change.

Before clicking Update Need, check the box beside Notify respondents of this update?

This is especially helpful when updating:

  • Need description

  • Need date or time

  • Need location, including the address, city, state, or ZIP code

Notifying respondents helps ensure volunteers have the most up-to-date information before arriving.

Editing Duration Types

Depending on the duration type selected when creating the Need, updating it later may be limited.

Custom Shifts or Recurring Shifts

  • The duration type cannot be changed.

  • If you need a different duration type, you can clone the Need.

Happens On, Is Ongoing, or Runs Until

  • You can change the duration type to:

    • Happens On

    • Is Ongoing

    • Runs Until

    • Multi-Date

  • You can also clone the Need if needed.

Multi-Date

  • This duration type can be changed to any other duration type.

  • You can also clone the Need.

Important Note

Changing the duration type of a Need may cause data issues.

For example, volunteers may not be able to log hours for that Need.

Instead of changing the duration type, it is often better to clone the Need or create a new one with the correct duration.
