Exporting Agency Stats: Agency Managers

How Agency Managers export their Agency's stats

Heads up! This article is only intended for Agency Managers. Agency Managers are only available on Center sites.

By the end of this article, you will be able to:

  • Access your Agency’s stats for volunteer responses, hours, and engagement

  • Filter and export stats for reporting purposes

  • Understand the contents of exported CSV files

Accessing Your Agency’s Stats

  1. Go to My Agency.

    • If you manage multiple Agencies, click My Agencies and select the desired Agency from the dropdown.

  2. Click Stats.

    • From here, select the Responses, Hours, or More tabs.

The default date setting when you navigate to your Stats is the past month. You can always change the date range you wish to review.

Understanding the Stats Page

The Stats page has three tabs:

1. Responses

  • See who responded to each volunteer Need and when

  • View the shift start time and hours submitted

  • Identify volunteers who signed up but didn’t log hours: Use the table filter to hide entries with hours, revealing those who signed up but didn’t report any volunteer hours

2. Hours

  • Track detailed hour submissions for each Need

  • Includes status, submitter info, Need title, and date of the activity

3. More

  • View the number of Agency fans and profile page views

  • Totals include both logged-in users and visitors; repeat views count as separate views

Filtering and Exporting Stats

Filtering

  • On Responses or Hours tabs, click Table Filter

  • Check or uncheck columns to display only the data you need

Exporting

  • Click the Export button on the relevant tab

  • Need Responses Export is emailed when ready

  • Hours Export downloads automatically to a CSV

  • Check both Responses and Hours exports for complete reporting

  • Use exports for program reporting, audits, or volunteer recognition efforts

What's Included

Need Responses Export

  • Response ID and date

  • Need title

  • Shift ID, start and end date and time, and duration if it's a shift Need

  • Volunteer's first and last name, email, phone, company, and address

  • Any notes the volunteer provided when they responded to the Need

  • Team name and leader if part of a team response

  • Answers to any additional questions that a Site Manager added

Site Managers can add custom questions for all Needs on the site and for all Needs within certain initiatives

Hours Export

  • Date the volunteer worked (This isn't the date the hours were submitted)

  • Need title

  • Hours volunteered

  • Miles traveled—if submitted

  • Answers to any hours submission questions that a Site Manager added

  • A description of the hours, if submitted

  • Check-in and Check-out times—if the volunteer check-in was used

  • The source of the hours—if they weren't manually entered by the volunteer (For example, if the hours were applied automatically through volunteer check-in)

  • The status of the hours

  • The volunteer's first and last name, and email

  • The volunteer's team—if they signed up with a team

If a team leader entered default hours on behalf of a team member, they appear in the Description column.
