Creating, Editing, and Perfecting Your Agency's Profile: Agency Managers

How Agency Managers manage their Agency Profiles

❖ Heads up! This article is intended for Agency Managers.

After registering your Agency on a volunteer site, set up your Agency profile page to share key information such as:

  • Mission statement

  • Community impact

  • Goals

  • Contact details

  • Hours of operation

  • Available Needs or Events for volunteers

  • Causes your Agency supports

  • Links to important info or resources

You can also add your Agency’s branding and images here.

Creating an Attention-Grabbing Profile

Create an engaging profile page to boost volunteer interest in your Agency’s Needs. Share your mission and goals, and personalize them with your branding and images. Here’s an example to inspire you:

Writing Descriptions

There are two description fields for you to complete when setting up your profile page. Those are the Who We Are and What We Do descriptions.

Who We Are: Share your Agency’s name, mission, impact, and goals here.

What We Do: Tell the community about your work. Share as much or as little as you like—but remember, this is the volunteers’ first impression. Make it engaging and show why they should join your mission!

You can also enhance your descriptions with images, videos, links, and text formatting.

Consider adding mixed media to your profile page—embed videos, add links, and include images to break up text and make it easier for volunteers to read and engage.

The Text Editor

The text editor lets you change font color, add images, links, tables, and more! It’s built on HTML, so if you know basic coding, you can enhance your description even more. Here are the available text editor buttons:

Undo and Redo

Use Undo to step back and Redo to bring it back.

HTML Source Code

Open the HTML editor to embed videos from YouTube, Vimeo, or add other custom HTML content.

Note: Some videos may not embed properly, causing broken links on your site.

Insert Table
Add a table to organize your content. Customize rows, columns, and cells to display things like volunteer schedules or impact data clearly.

Indent Controls
Use these buttons to increase or decrease the indent of your text for better formatting.

Alignment Controls
Adjust the alignment of images, videos, and text to fit your layout perfectly.

Bullet Points & Numbered Lists
Break up your text with bullet points or numbered lists to make key info easy to read.

Horizontal Line
Separate sections of your description with a horizontal line for clear visual breaks.

Insert/Edit Image
Add your logo, banners, or any images to personalize your description.

Headings
Create section headlines by choosing different sizes from the dropdown menu.

Text Styling
Make text stand out by bolding, italicizing, or underlining.

Text and Background Colors
Change text or background colors to highlight important information.

Insert/Edit Link
Add links to documents, videos, or training materials. To remove a link, just highlight it and click Remove Link.

Managing Your Agency's Logo

You can add or update your logo from the Edit tab!

  1. Go to My Agency.

  2. Click the Edit tab.

  3. Go to Agency Logo.

Adding a Logo to Your Agency's Profile

Adding your first Agency logo? Yay! We can't wait to see your awesome branding and personalization!

  1. Under Agency Logo on the Edit tab, click Upload Logo.

  2. Select the file you wish to upload and click Open. Make sure your logo is 540 pixels x 540 pixels for best results!

  3. From here, you can crop your logo or skip cropping and save your changes.

Removing a Logo from Your Agency's Profile

If you need to update a logo, you can always remove the current one and follow the steps for adding a new one. Just click Remove beside the Upload Logo button.

Managing Images for your Agency's Profile

After registering your Agency on a site, you can personalize it with images! Just scroll to the bottom of the Edit Agency page and drag and drop your image files to upload them. Be sure to refresh your page to see your newly added images!

Editing Your Agency's Profile

You can update your Agency’s profile page anytime. Whether it’s changing a contact number, adding or removing images, editing descriptions, or updating office hours, all these changes can be made easily from the Edit Agency page.

  1. Go to My Agency.

  2. Click Edit.

  3. Make all necessary changes.

  4. Be sure to click the Update button to save those changes!

Managing Agency Managers

You can add or remove Agency Managers and designate the primary manager at any time. The primary Agency Manager has the additional ability to add or remove other managers; otherwise, all managers have the same access.

You must add a user as an Agency Manager before assigning them as the primary. After transferring primary status, you will no longer be able to edit Agency Managers.

Adding a New Agency Manager

  1. Go to My Agency.

  2. Click Edit.

  3. Under Agency Managers, type the name or email address of the user you want to add.

The user must have a registered account to be added here.

Make Another Agency Manager the Primary

  1. Go to My Agency.

  2. Click Edit.

  3. Under Agency Managers, click the star by the person you want to make the new primary.

    • Once you do this, you won't be able to edit this area of the site for your Agency.

  4. A pop-up appears asking you to confirm your actions. The new primary Agency Manager now appears with a star by their name.

Need to undo this change? You can either have the new primary reassign you as the primary or contact your site manager for help.

Removing an Agency Manager

  1. Go to My Agency.

  2. Click Edit.

  3. Under Agency Managers, click the X beside the name of the person you want to remove.

  4. A pop-up appears asking you to confirm your action. You can always follow the steps to re-assign someone as the Agency manager if this was done in error.
