Communication Preferences: Agency Managers

How Agency Managers update their communication preferences

❖ Heads up! This article is only intended for Agency Managers.

By the end of this article, you will be able to:

  • Update your communication preferences

  • Opt out of optional emails and notifications

  • Re-enable notifications after opting out

Overview

You and the volunteers in your Agency can update your communication preferences at any time from your profile settings.

You can also opt back in to receive notifications if you previously unsubscribed.

Managing Communication Preferences

Communication preferences can be updated from your profile. This update also applies to users who have opted out of all emails and want to opt back in.

  1. Click your profile image or initials from the top menu bar and select Edit Profile.

  2. Scroll to the Data and Communication Settings section and click Manage My Preferences.

  3. Enable or disable the communications you want to receive.

  4. Click Save My Preferences when you're done!

To stop receiving all optional communications:

  • Select Unsubscribe From All Emails and Notifications.

To start receiving notifications again:

  • Return to Edit Profile and update your communication preferences.

These are important notifications about your volunteer account and activity.

Confirmations and Reminders

These are reminders and confirmations about volunteer Opportunities you've signed up for.

Email Blasts

Email Blasts are the customized emails you or other Site Managers have sent out. These are not site-generated, automated notifications.

News and Recommendations

These are recommendations for volunteer Needs based on your personal preferences.

Schedule Updates

These are important updates about changes to your schedule, updates about your spot on a waitlist, or important information about your teams.

Surveys and Thank Yous

These are friendly follow-ups and survey requests for activities you've participated in.

Agency Manager - Activity

Activity notifications are sent to you, the Agency Manager, when certain triggers take place:

NOTE: Not all sites have the Advanced Events Module (AEM), so this may not be an option under your communication preferences.

AEM: Notification of Unregistered Volunteer

This is sent when a user unregisters from one of your Needs in Advanced Events.

AEM: Notification of Need Response

This is sent when a Need you've posted in Advanced Events receives a volunteer response.

Notification of Unregistered Event Attendee

This message is sent when a user unregisters for an event.

Event RSVP Notice to Agency

This message notifies an event owner when a user has RSVP'd to the event.

Notification of Need Response

This is sent when a volunteer responds to an Agency's Need.

Notification of Unregistered Volunteer

This is sent when a volunteer unregisters from an Agency Need.

Agency Need Denied

This is sent when a Site Manager denies an Agency's submitted Need.

AEM: Invitation to Agencies

This is sent when a Site Manager sends an Advanced-Event invitation to selected Agencies.

Agency Manager - Tasks

Here are the notifications that fall under Tasks for Agency Managers:

This is sent when you have volunteer hours waiting for review.

Agency Manager's Weekly Digest

This is sent weekly to let you know of any expiring Needs, upcoming Needs, or pending hours.

Agency Incomplete Notification

This is sent when you haven't completed your Agency's basic profile.

Agency Manager - Updates

Here are the notifications that fall under Updates for Agency Managers:

Registration Closed Message

This goes out on the day that a Need's registration closes.
​Note: If you have multiple Needs that share the same registration close date, then you receive individual emails for each Need.

Ongoing Need Notification

This is sent 90 days after an ongoing Need has been updated.

Agency Need Happens on Notification

This is sent seven days before and one day before a Need is scheduled to occur.

Agency Need Expiration Notification

This is sent seven days before and one day before a Need expires.

Email Notifications that Can't be Opted Out of

Some essential email notifications cannot be opted out of, including:

Emails for User Type: Users

  • PIN message for SSO

  • Invitation to Complete Your Profile

  • Notification of Site Manager Status

Emails for User Type: Any

  • User Email Check

  • Batch Password Reset Request

Emails for User Type: Volunteers

  • User password reset message

  • New User Welcome Message

  • User Imported Message

  • User Deactivate Message

  • Thank Your For Your Donation

  • Invitation to Join the Site and a Team

Emails for User Type: Agency Managers

  • New Agency Approval Message

  • Agency Imported Message

  • Agency Application Received
