❖ Heads up! This article is only intended for Agency Managers.

By the end of this article, you will be able to:

  • Log hours for volunteers without accounts

  • Add plus-one hours for guests or group members

  • Understand how anonymous and plus-one hours appear in reports

ℹ️ So you know: Anonymous and plus-one hours may not be enabled on all sites. Contact your Site Manager to request access.

Anonymous Hours

Use anonymous hours to record time for unregistered volunteers when:

  • Large groups participate without creating accounts

  • Volunteers bring guests

  • Personal details are unavailable

Anonymous entries appear as [Anonymous] in reports to help ensure accurate contribution totals.

Adding Anonymous Hours

  1. Go to My Agency > Time Tracking.

  2. Scroll to the Hour submission form under the Volunteer Hours table.

  3. Select the Need you want to add anonymous hours for with the Select a Need dropdown.

  4. Select Anonymous User with the Select a Volunteer dropdown.

  5. Complete the Hour Details fields.

  6. Answer any required Hours Questions as applicable.

  7. Click Submit Hour Entry when finished.

When you, another Agency Manager, or a Site Manager, enter hours on behalf of volunteers, they're automatically approved and won't appear as pending in the Volunteer Hours table.

If a Site Manager changes the status of an anonymous hour from approved to pending, that hour appears in the Volunteer Hours table with Inactive User as the volunteer's name.

Once you approve the hour, it appears with Anonymous as the User in the Stats > Hours area of your Agency Manager dashboard.

Plus-one hours

Plus-one hours let you record time for individuals without a registered account. Agency Managers, Site Managers, and volunteers can all enter them. This feature is especially useful for tracking hours for minors or guests.

How it works:

  • If a volunteer logs plus-one hours, those hours attach to their account.

  • If an Agency or Site Manager logs them, the hours attach to the volunteer account you’re entering on behalf of.

Plus-one hours work best when at least one group member (like a parent or team leader) has a registered account, so the group’s hours can be tied to it.

Adding Plus-One Hours

  1. Go to My Agency > Time Tracking.

  2. Scroll to the Hour submission form under the Volunteer Hours table.

  3. Select the Need you want to add anonymous hours for with the Select a Need dropdown.

  4. Select the user with the Select a Volunteer dropdown.

    • Volunteers must have submitted a response to the Need for their name to appear in the dropdown.

    • The volunteer selected here is the volunteer account that the plus-one hour is associated with.

  5. Complete the Hour Details fields.

  6. Check Yes under Plus-one Hours.

  7. Enter the number of additional volunteers.

  8. Enter their relationship to the volunteer the hours are being attached to—e.g., family, friends, club members, etc.

  9. Answer any required Hours Questions as applicable.

  10. Click Submit Hour Entry when finished.

When a volunteer submits plus-one hours, they're set to pending and appear in the Volunteer Hours table. Hover over the icon beside Plus-one to see who the hours are associated with.

When you, another Agency Manager, or a Site Manager enter plus-one hours, they are automatically approved and won't appear in the Volunteer Hours table.

The Volunteer Perspective

When volunteers submit their own hours, they can also add plus-one hours for anyone who joined them without a registered account (friends, family, minors, etc.).

Volunteers can add plus-one hours in three ways:

  • From their profile – when submitting hours after an opportunity

  • During self check-in – by entering their own hours and any guests’ hours

  • At the Check-In Kiosk – while signing in on-site
