❖ Heads up! This article is intended for Agency Managers.
By the end of this article, you will be able to:
Manually check volunteers in for a Need
Check volunteers out and apply the correct hours
Understand how automatic check-out works
About the Check-In Tab
Volunteers can check themselves in through:
The Check-In Kiosk
The App
Self Check-In from their volunteer profile
As an Agency Manager, you can also manually check volunteers in from the Check-In tab. This is also where you launch your Agency’s Check-In Kiosk.
Important
The Check-In Kiosk only works with Needs.
It does not work with Events, since Events do not collect volunteer hours.
Check Volunteers In for a Need
Go to My Agency > Check-In.
Select the Need you want to check volunteers in for.
Select a User Group, if applicable.
Check the boxes beside the volunteers you want to check in.
A snapshot under the Need title shows:
The shift date and time
The number of volunteers currently checked in
How many slots are filled
Click Check In Users.
Their status under the Checked In column changes from No to Yes, and they now appear under the Checked In Now tab.
Check Volunteers Out of a Need
Go to My Agency > Checked In Now.
Under the Check-Out column, use the dropdown menu for the volunteer you want to check out.
Depending on the Need’s duration type, you may see different options. For example, Needs with scheduled shifts include:
Check out with the shift end time
Check out with a custom time
After selecting the appropriate checkout time, click Check Out.
The volunteer’s hours now appear under Stats > Hours. If you don’t see the hours, adjust your date range filter.
Automatic Check-Out
Volunteers can check themselves in and out using:
The Check-In Kiosk
The App
Self Check-In from their volunteer profile
If a check-out is missed:
The system automatically checks the volunteer out at midnight on the day the Need occurred.
The system applies the default hours for that Need.
