How Site Managers create and manage Teams on their site

By the end of this article, you will be able to:

  • Create a new team on behalf of a volunteer

  • Add volunteers or user group members to a team

  • Assign team leaders and reserve additional slots

  • Understand how volunteers create their own teams

Creating a New Team

You can create a team directly from your manager dashboard.

Steps to Create a Team

  1. Go to Volunteerism > Teams.

  2. Click Add a Team.

  3. Use the Select Opportunity dropdown to choose the Opportunity the team will respond to, then click Continue.

    • Teams can only be created in response to an Opportunity.

  4. Click Create a New Team

Build Your Team

  1. Name the team.

  2. Click Add Volunteer to add members individually.

  3. Or click Add From a User Group to pull members from an existing user group.

    • Select the group and click Add to Team.

You can also click Add Me to add yourself to the team.

Adding Volunteers

If the volunteer already has an account:

  • Enter their email.

  • A pop-up will confirm their registration.

  • Click Yes, and their first/last name auto-populate.

If the volunteer is new:

  • Enter a valid email, first name, and last name.

  • Click Add Team Member.

Each added volunteer appears in the team table.

Assigning a Team Leader

Check the box under the Leader column for the person you want to manage the team.

Reserving Additional Slots

If space is available, select the number of Reserved Additional Slots to allow team members to bring guests to the Opportunity.

  • The team size and total available slots appear in the upper-right corner.

  • Site Managers always have access to reserved slots.

  • If Require Emails for Team Registrations (under Settings > Response Questions) is turned On, volunteers who create teams won’t see reserved slots—but the Team Leader can still manage them from My Teams > Manage Team.

When your team is ready, click Continue.

Selecting Shifts

If the Opportunity includes scheduled shifts:

  • Check the shifts the team should respond to, or

  • Toggle Respond to All Shifts to register the team for every available shift.

Click Finish to finalize the team. The new team response appears in the Teams Overview table, where you can edit or manage it at any time.

The Volunteer Perspective

Volunteers can create and manage their own teams in just a few steps:

  1. Find an Opportunity.

  2. Click Respond As Team.

  3. Enter their team details.

They’re now ready to volunteer with coworkers, family, or friends.

Important: When creating an Opportunity, the Allow Team Registration setting must be toggled to Yes. This option appears on the Create Opportunity form.
