โ Heads up! This article is only intended for Site Managers.
By the end of this article, you will be able to:
Locate and apply the User Filter in Volunteerism > Users.
Understand the main filter categories and when to use them.
Perform common bulk actions with filtered users.
Save and reuse User Filters for future work.
What is the User Filter?
The User Filter helps you quickly find, manage, and communicate with specific groups of volunteers.
You can use the User Filter to:
Create targeted volunteer lists (e.g., everyone who responded to the same Need/Opportunity or shares a Skill).
Export data (e.g., volunteers who reached a benchmark or submitted the most hours).
Take bulk actions (e.g., add/remove tags, reset passwords, schedule volunteers).
Build recipient lists for mass emails.
โน๏ธ So you know: Some sites have language overrides. You may see Needs instead of Opportunities, or Agencies instead of Programs.
Using the User Filter
You can also save filters. Once you've applied the filters you want, click Save User Filter. You can come back and select a saved filter as necessary.
You can also access a User Filter in Communications > Email Blasts to build a list for sending mass emails.
Filter Options
The list of available filters depends on your site and how it is set up. Every site is set up differently, so you may not see all of the listed filter options.
Filter | Description |
Agency | Select this filter when you want to see Agency-specific data.
Use this filter to see when an Agency added a new Need or to export a list of Agencies with the same assigned Causes. |
Events | This filter is great for reviewing information about event participation.
|
Program | This filter is great for seeing Program-specific data.
Use this filter to see when a Program added Opportunities or to export a list of Programs with the same assigned Causes |
User Data | Select this filter when you want to filter by user-specific data.
Use this filter to export a list of volunteers who share a birthday or user tag, send the password reset email, deactivate volunteers in bulk, or email a list of User Group members. |
Volunteer | Select this filter when you want to filter for volunteer data.
Use this filter to export a list of volunteers in an Agency/Program or on a waitlist for a specific Need/Opportunity, to schedule a group of volunteers who responded to the same Need/Opportunity, or to export a list of current Agency/Program Managers. |
Available Bulk Actions
The list of available bulk actions varies for every site. You may not see the same bulk actions in your dropdown. When you're done filtering your users, you can apply a bulk action to the list.
Filter your users with the User Filter.
Use the Select An Action dropdown to select a bulk action.
Follow the steps for that bulk action.
Additional steps depend on the bulk action being taken, e.g., Add/Remove Tags makes you select Add or Remove and then type the Tag before clicking Update Tags.
Bulk Action | Description |
Assign/Remove Program | Quickly add or remove volunteers from a Program in one go. |
Add/Remove Tags | Quickly add or remove user tags from users. User tags are a great way to filter users by special skills outside of the listed Interests/Skills or Causes provided with your site.
You can also add special tags to users to keep track of important user data when you need it. |
Add/Remove User Group | Quickly add or remove volunteers from a User Group. User groups let you group volunteers with special Interests or Skills.
We also recommend creating a user group if you offer court-mandated volunteer Needs/Opportunities and want discretion when working with those volunteers and their information. |
Export Users | Use to export a list of volunteers. A CSV of that data is emailed directly to you or another valid email address. |
Deactivate Users | Use this filter to deactivate a bulk list of volunteers.
Note: Users with an inactive status are already deactivated. |
Send Password Reset | Quickly send the password reset email to selected volunteers to save time! |
Activate Imported Users | Use this filter to activate imported users. |
Remove Benchmark | Use this filter to remove benchmarks from users. |
Schedule Users | Use this filter to schedule users in bulk. |
Send Track Invite | Send an invitation to volunteers to continue or start a Registration Track. |
Add users to default track | Use to add a list of users to your site's default Track. |
