Volunteers are encouraged to submit their own hours, but as a site manager or volunteer leader, you may sometimes need to log hours on their behalf. Whether you're entering hours for one person or a whole group, the platform offers several flexible methods to suit your workflow.
Below, you’ll find the most common ways to log hours, along with tips for flexible and open opportunities.
Flexible Opportunities and Hour Descriptions
For Opportunities with open availability (where volunteers can serve anytime within a given window), the Hours Description field helps communicate flexibility. You can:
Leave the field blank
Or add a note such as:
"Open availability between 8:30 AM–4:30 PM"
This lets volunteers log time within the expected range without strict start/end times.
Adding Hours to Individual Volunteer Accounts
To log hours for a single volunteer:
Go to Volunteerism > Hours.
Click Add An Hour Entry.
In the User Lookup field, type the volunteer's name and select them.
In the Need/Opportunity Response Lookup field, search for the relevant Opportunity. Note: The volunteer must have responded to the Opportunity for it to appear in the dropdown.
Complete all required fields and optional fields.
Click Submit Hour Entry.
You can also log hours from a volunteer's profile:
Go to their profile, click Hours > Add an Hour Entry, and follow the same steps.
Adding Hours for Teams
Add Hours to Individual Team Member
Go to Volunteerism > Teams.
Click the Team Responses tab.
Select the Team Name.
Click the hourglass icon under the Options column next to the team member.
Complete the hour form and click Submit Hour Entry.
To edit team hours, click the pencil icon under Team Hours, make your changes, then click Submit Hour Entry.
Add Default Hours to Multiple Team Members
Go to Volunteerism > Teams.
Click the Team Responses tab.
Select the Team Name.
Check the boxes next to the responses.
Click + Add Default Hours.
Quick Add Hours (Bulk Entry for Individuals)
Use Quick Add to efficiently log hours for multiple volunteers—especially useful for high-turnout Opportunities:
Go to Volunteerism > Hours.
Click Quick Add Users and Hours.
Enter a valid email and select the volunteer, or choose [Add New]
Select the Select Need/Opportunity. If applicable, select the relevant Shift.
Complete the required and optional fields.
Click Submit and Start Another, or Submit Hour Entry.
Add Default Hours in Bulk (Responses or Scheduling Area)

Go to Volunteerism > Scheduling.
Select the Need/Opportunity and click View Available Volunteers.
Check the boxes next to users.
Click + Add Default Hours.
Adding Anonymous Hours
Use this option when a volunteer brings guests—like coworkers or friends—who don’t have accounts.
Go to Volunteerism > Needs/Opportunities.
Select the relevant Need/Opportunity.
Scroll to Volunteer Hours and click Add Anonymous Hours.
Complete the form and click Add Hours.
Adding Hours for Volunteers Without a Prior Response
If a volunteer participated but didn’t officially respond to a Need/Opportunity, you can still log their hours by manually adding a response:
Go to Volunteerism > Responses and click Add A Response.
Choose the type: Single, Multiple, or Team.
Enter the Need/Opportunity title in the Need/Opportunity Lookup field.
Enter the volunteer's name or email in the User Lookup field.
Click Add User Response.
Once added:
To add default hours, check the box next to the response and click + Add Default Hours.
To add custom hours, click the hourglass icon under Options.
Fill out the Add Hours form and click Submit Hour Entry.
If the new response doesn't appear right away, try refreshing the page.
Logging Hours for 'Drop-In' or Flexible Opportunities
For drop-in or unscheduled volunteering:
Volunteers can log their own hours
You can allow hour logging without requiring a shift or response by enabling flexible settings on your site
This is perfect for volunteers who serve in more informal or recurring roles that aren’t tied to scheduled shifts.
