How Site Managers can set up background checks for Prerequisites or Qualifications

❖ Heads up! This article is only intended for Site Managers.

While we’re happy to connect you with our third-party background check providers, we understand that you might already have an established relationship with another background check provider. If so, that’s totally up to you—you can absolutely continue working with them!

To make this seamless, you can set up special Prerequisites or Qualifications and stick with the provider you trust. We’re here to guide you every step of the way and help you do this in the best way possible!

ℹ️ So you know: Some sites use language overrides. This means you may see Needs instead of Opportunities, Agencies instead of Programs, or Prerequisites instead of Qualifications.

Working with Third-Party Providers

You can set up Prerequisites or Qualifications that require manual review and approval before volunteers can respond to a Need or Opportunity. These Prerequisites or Qualifications prevent volunteers from responding until you've used your third-party system to verify who is approved and who isn't.

Once you've reviewed the results of those background checks, you can return to your site's Qualifications > Approval area to update their status. Here are a couple of options you can use:

  • Set up a File Upload Qualification Type if you want volunteers to submit a document or certificate when completing the Prerequisite or Qualification.

  • Select a blank or selected answer if you don’t need volunteers to upload a document when responding.

Most third-party background check Prerequisites or Qualifications will need a link to the third-party provider. You can easily do this using the Add Content Link option with all Qualification types like File Upload, Radio Button, and more.

How to Set Up a Third-Party Background Check Qualification

When setting up a third-party background check, you have the flexibility to choose any Qualification type. Here’s an example where we’ve set it up as a File Upload type, which requires volunteers to upload a document to complete the Prerequisite or Qualification. Common documentation includes:

  • A screenshot confirming the completion of the background check with the third-party provider

  • A certificate

  • Any additional required documents, such as licenses, driver's licenses, completed forms, etc.

By setting up these features, you can streamline your process while keeping everything organized and efficient!

Here is one suggestion for setting up your Prerequisite or Qualification for background checks:

Type

Select File Upload if you want volunteers to upload a file or document when completing this requirement.

Title

This is visible to all users on your site, so keep it specific and relevant. For example, "Background Check Summer 2025." 

Question

This is what volunteers will see when they click on the Prerequisite or Qualification. You might consider adding a question, such as, Have you completed our background check?, or providing clear instructions, like, Please complete our background check by clicking the link below.

This helps set expectations and guides volunteers through the process seamlessly!

Auto Approve

For most background check Prerequisites or Qualifications, Site Managers check No for Auto Approve.

This allows you to review the background check status, Prerequisite/Qualification response, and any additional information provided to your third-party service provider.

When ready, you can manually approve them.

Add Content Link

Almost all background check Prerequisites or Qualifications through a third-party service require a content link. To set this up:


1. Toggle the Add Content Link button to On.


2. Copy a link to the third-party background check provider and paste it into the Link URL field.


3. You can include actionable text or the title of the service provider in the Link Text field—for example, Click here to complete your background check or 123 Background Checker.

This creates a clickable link that directs them to your third-party provider.
