How to Know if a Volunteer is Active: Site Managers

Information about tracking volunteer engagement for Site Managers

Heads up! This article is only intended for Site Managers.

By the end of this article, you will be able to:

  • Understand what “active” means for a volunteer account

  • Identify signs of true engagement vs. simple account access

  • Use filters, reports, and profiles to review volunteer activity

Volunteer engagement plays a key role in meeting your organization’s goals. Your site provides multiple ways to evaluate how active volunteers are.

What “Active” Means

When a volunteer registers, their status is set to Active.

Active means:

  • The volunteer has access to your site

  • The account is not disabled

Active does not mean:

  • The volunteer is regularly logging in

  • The volunteer has responded to Opportunities

  • The volunteer has completed all profile requirements

An account can be Active even if the volunteer:

  • Has not completed required Prerequisites/Qualifications

  • Has not completed a Registration Track (if enabled)

  • Has not fully completed their profile

Why a Volunteer May Not Be Engaging

Common reasons include:

Incomplete Prerequisites/Qualifications

A volunteer may need to:

  • Submit a Prerequisite/Qualification

  • Receive approval before responding

To review qualification status:

Volunteerism > Users > User Filter > Volunteer > Qualification > [Status] > [Qualification Name]

Incomplete Registration Track (If Enabled)

Registration Tracks are available on:

  • Amplify sites

  • Center sites with Activate: Disaster Dashboard enabled

You can:

  • Review progress from the user’s profile

  • Use the Tracks area

  • Select Hide Complete to view users with outstanding items

If you do not see Tracks, your site does not have this feature enabled.

Incomplete Profile Information

Volunteers may skip steps during registration (especially via Check-In Kiosk).

To review profile completion:

Volunteerism > Users > [User Name]

Check:

  • Basic Info

  • Prerequisites/Qualifications

  • Registration Questions

  • Background Checks (if applicable)

Age-Restricted Waivers

If using Adult-Only waivers:

  • Minor volunteers cannot respond to those Opportunities

Recommendation:

  • Use Adults and Minors waiver type if minors participate regularly

  • Use Adult-Only waivers only when necessary

How to Check Volunteer Activity

You can evaluate activity using:

  • User Filter

  • Reports

  • Individual user profiles

Using the User Filter

Access the User Filter

  1. Go to Volunteerism > Users.

  2. Click User Filter.

Filter by Date Last Logged In

Path:
Volunteerism > Users > User Filter > User Data > Date Last Logged In > after/before/on > [Date]

Use this filter to:

  • Identify volunteers who have not logged in recently

  • Segment users for re-engagement outreach

If a volunteer hasn't logged on in a while, consider sending them a friendly email with available Needs or Opportunities that match their skills.

User Need or Opportunity Response

Path:
Volunteerism > Users > User Filter > Volunteer > User Need/Opportunity Response > Greater than / Is equal to / Less than > [Number]

Examples:

  • Engaged users:
    Greater than > 0

  • Never responded:
    Is equal to > 0

Filter by Specific Need/Opportunity Response

Path:
Volunteerism > Users > User Filter > Volunteer > Need/Opportunity Response > has responded to / on waitlist for > [Need/Opportunity]

Use this to:

  • Follow up with participants

  • Review engagement for a specific Opportunity

Filter by User Status

Path:
Volunteerism > Users > User Filter > User Data > User Status > is / is not > Active / Imported / Inactive / Pending

Reminder:

  • Active means the volunteer has access to the site.

  • It does not indicate engagement level.

Filter by Date Updated

Path:
Volunteerism > Users > User Filter > User Data > Date Updated > after/before/on > [Date]

Use this to:

  • Identify recently modified accounts

  • Review new or recently updated profiles

Using Reports to Measure Activity

Path:
Reports

Apply additional filters within each report as needed (e.g., Date Range, Agency/Program, Need/Opportunity).

You can export any of these reports to a CSV file for tracking and reporting purposes!

Reports for Volunteer Hours

Located under:
Reports > [Hours-Related Report Category]

Common reports:

  • Volunteer Hours Logged

  • Volunteer Hours Summary

  • Data Explorer — Hours

  • Shift Attendance

Reports for Volunteer Engagement

Located under:
Reports > [User or Opportunity Category]

Common reports:

  • Data Explorer — Responses

  • Repeat Volunteerism User List

  • Top 50 Volunteers

Reviewing an Individual Profile

Edit and Review a Profile

Path:
Volunteerism > Users > [User Name]

Review:

  • Basic Info

  • Prerequisites/Qualifications

  • Registration completion

Assume a User’s Identity

From the Users table:

Path:
Volunteerism > Users > Options (arrow icon) > Assume the Identity of This User

From the Edit User page:

Path:
Volunteerism > Users > [User Name] > Assume User
