❖ Heads up! This article is only intended for Site Managers.
We know how integral volunteer engagement is in meeting your organization's goals. You can always check to see how active volunteers are on your site! To see how active a user is on your site, you can use your User Filter, Reports, or review a user's profile!
When we say a volunteer's status is "active," it means that they can access your site—it doesn't necessarily mean that they're actively using it.
ℹ️ So you know: Some sites have language overrides. This means you may see Needs instead of Opportunities, Agencies instead of Programs, or Prerequisites instead of Qualifications. You may also see different menu items than the ones in the examples since all sites are set up differently.
What Does it Mean if a Volunteer is Active?
When a volunteer registers on your site, their status is set to active. An active status means the volunteer has an account on your site, but it doesn't necessarily mean that they're actively using it. An active status also doesn't mean that the volunteer has completed all steps in creating their user profile. There are a few reasons for this:
For example, maybe they haven't satisfied the requirements you've set for the site, like a Prerequisite or Qualification that must be completed and approved before they can respond to a Need or Opportunity.
You can use the User Filter to review a user's profile and determine what Prerequisites or Qualifications are needed for them to move forward with their account.
To access this, go to Volunteerism > Users > User Filter > Volunteer > Qualification > [qualification status] > [name of qualification].
Maybe the volunteer hasn't completed the Registration Track requirements they're on. You can always check to see where volunteers are in their journey on a Registration Track from their profiles or the Tracks area on your site.
Please note that not all sites have Registration Tracks available. This is only available on Amplify sites or Center sites with the Activate: Disaster Dashboard enabled.
You can click Hide Complete to only view the users who still have items to complete in that Track. Remember, not all sites have Registration Tracks. If you don't see these fields or pages, then your site doesn't have Registration Tracks.
Another option is that a volunteer hasn't completed all areas of their profile after registering. Volunteers can sometimes skip steps in the registration process—especially if they registered a new account through your Check-In Kiosk.
You can always review a volunteer's profile to see what areas they are missing or use the User Filter to see if they've submitted registration question answers, completed a background check, submitted a Prerequisite or Qualification, etc.
To review a volunteer's profile for completion, go to Volunteerism > Users > [user name] > review their Basic Info, Prerequisites or Qualifications, etc.
If your site includes Adult-Only waiver Prerequisites or Qualifications, minor volunteers attempting to respond to Needs or Opportunities with those requirements will be unable to proceed.
We recommend using the Adults and Minors waiver type if you plan to include minors in your volunteer activities.
If you have a Need or Opportunity with an age restriction or one that is only adult-oriented, then the Adult Only waiver option is great for preventing minors from signing up; however, we typically recommend only using it in these special instances.
How Can I Know if a Volunteer is Active?
Your User Filter can help you find the information you need about volunteers and their activity on your site! You can find data about when they last logged in, how many Needs or Opportunities they've responded to, and what their current account status is. To get started:
1. Go to Volunteerism > Users from your dashboard.
2. Click the User Filter button above the table that displays user information.
3. This opens up the filter for you to start making your selections!
The User Filter
Date Last Logged In
You can check user activity with specific filters from the Users area of your site with the User Filter!
1. Go to Volunteerism > Users from your site manager dashboard.
2. Click User Filter.
3. From the dropdown for Select a Filter, select User Data.
4. In the Select an Option dropdown, select Date Last Logged In.
5. Select when the filter should apply—after, before, or on.
6. Choose a date to apply the filter to with the calendar.
7. Click Submit to see that information.
If a volunteer hasn't logged on in a while, consider sending them a friendly email with available Needs or Opportunities that match their skills.
User Need or Opportunity Response
Another great filter for checking user activity is User Need or Opportunity Response.
1. Go to Volunteerism > Users.
2. Click User Filter.
3. From the dropdown for Select a Filter, select Volunteer.
4. In the Select an Option dropdown, select User Need or Opportunity Response.
5. You can search how many responses by selecting greater than, is equal to, or less than and setting a specific number for those parameters.
6. Click Submit to see that information.
For a more detailed view:
In the Select an Option dropdown, select Need or Opportunity Response.
Choose either has responded to or on wait list for.
Select the Need or Opportunity you want to view that data for and click Submit.
User Status
To check a user's status and the last time they updated their profile, the User Status filter is a helpful tool! Keep in mind that an active status doesn’t always mean the volunteer is actively engaging with your site—it simply indicates they have access. For more insight into their activity level, you can review their responses, schedule, and other details.
1. Go to Volunteerism > Users.
2. Click User Filter.
3. From the dropdown for Select a Filter, select User Data.
4. In the Select an Option dropdown, select User Status.
5. Choose either is or is not and then select active, imported, inactive, or pending.
6. Click Submit to see that information.
You can also check when a user last updated their account:
In the Select an Option dropdown, select Date Updated.
Choose after, before, or on, and select a date with the calendar.
Click Submit to see that information. This shows you when their account was created, when it was last updated, and their current status.
Reports
The Reports area of your site is another great place to see how active volunteers are. There you can see which Agencies or Programs and Needs or Opportunities they're contributing the most of their time. To get to these reports:
1. Go to Reports from your main menu bar.
2. Select the report you wish to view from the list.
3. Fill in any additional filter parameters as applicable. This can include specifying a date range or selecting an Agency or Program and Need or Opportunity, etc.
You can export any of these reports to a CSV file for tracking and reporting purposes!
Hours
These reports are great for viewing volunteer hours:
Volunteer Hours Logged
Here, you can see information about the user, Need or Opportunity, Agency or Program, hours submitted, and status.
Volunteer Hours Summary
This report shows you data about users, their status, and how many hours they've submitted.
Data Explorer—Hours
This report gives you a breakdown of when a user submitted an hour.
Shift Attendance
This shows you when a volunteer checked in and out for a Need or Opportunity, the number of hours worked, and information about the Agency or Program and Need or Opportunity.
User activity
These reports are great for viewing volunteer response and activity data:
Data Explorer—Responses
This is great for seeing who responded to what Need or Opportunity and when. It also shows the user's current status.
Repeat Volunteerism User List
This report shows you who volunteered for a specific Need or Opportunity and when they responded to it.
Top 50 Volunteers
This report is great for seeing who your most active volunteers are so you can celebrate their accomplishments and contributions!
User profile
A user might show as pending if they haven't completed all of their profile information. Depending on how you have your site set up, they may need to complete a qualification or answer questions to complete their profile before their status becomes active.
Check a user's profile
1. Go to Volunteerism > Users.
2. Click the user's name from the table or select the pencil icon under Options to edit them.
3. Review their profile information to ensure all necessary fields are complete.
4. Select Prerequisites or Qualifications to review their completed or incomplete Prerequisites or Qualifications.
Assume a user's identity
1. Go to Volunteerism > Users.
2. Select the arrow under Options that says Assume the Identity of This User when you hover over it.
3. Review their profile from the volunteer's perspective.
You can also assume the user's identity on the Edit User page. Click the user's name from the table that you want to assume the identity of. On the Edit User page, click Assume User beside their name.
