How Site Managers can use the Source Column in the Volunteer Hours Logged Report to see who logged hours and how

By the end of this article, you will be able to:

  • Access the Volunteer Hours Logged report

  • Interpret the Source column

  • Use additional reports to analyze participation trends

The Volunteer Hours Logged report shows who is submitting hours and how those hours were logged.

The Source column identifies:

  • The method used to log hours

  • The account responsible for the action

Access the Volunteer Hours Logged Report

Path:
Reports > Standard Reports > Needs/Opportunities > Volunteer Hours Logged

This report allows you to:

  • Review submitted hours

  • Identify how hours were logged

  • See approval status

  • Track participation by Need/Opportunity or Program

What the Source Column Means

The Source column shows how an hour entry was created or updated and by whom.

Below are common examples and what they indicate.

Volunteer used the check-in tool and was checked in or out to shift ID 1176640

Added at: /user/hours by Ruthie Rogers

The volunteer, Ruthie Rogers, added her hours manually, not via check-in

Added at: /home/checkin by Ruthie Rogers

The volunteer used the self-check-in too,l and her hours were logged automatically

Added at: /agency/checkinIndividual by Beau Baxley

The Agency Manager, Beau Baxley, checked the volunteer in using the "individual" option from the Agency's check-in tool

How Check-In Affects Timestamps

If Volunteer Check-In was used:

  • Added at = Check-in time

  • Updated at = Check-out time

If Check-In was not used:

  • Added at = When the volunteer logged hours

  • Updated at = When an Agency Manager approved the hours

Additional Participation Analysis

In addition to Standard Reports, your site provides tools to analyze engagement trends and participation.

You can:

  • Track volunteer activity by date range

  • Measure engagement over time

  • Review regional participation (e.g., by zip code in relevant reports)

Accurate profile data, including updated zip codes, improves reporting precision.

Using the User Data Explorer for Tracking Participation

To see how many volunteers participated during a specific timeframe:

Path:
Reports > Data Explorers > Users

  1. Set a start and end date (e.g., calendar year).

  2. Generate the report.

This report shows volunteers active within the selected timeframe, regardless of registration date.

Use filters to:

  • Analyze participation trends

  • Measure engagement metrics

  • Segment volunteers by activity level
