Amplify Site Managers: Approving Qualifications

Learn how Amplify Site Managers manage submitted Qualification responses

❖ Heads up! This article is only intended for Amplify Site Managers.

Use Qualifications to control access to Opportunities that require prerequisites such as age restrictions, signed waivers, background checks, or specialized training. Qualifications ensure that only eligible volunteers can respond to certain Opportunities.

They can also be used to confirm that volunteers have reviewed required materials, such as your organization's privacy policy or safety guidelines.

Reviewing Qualifications

When a volunteer submits a Qualification response, you can review and approve it by navigating to Volunteerism > Qualifications:

Click Approvals from the Manage Qualifications page to review the ones submitted by your volunteers:

Statuses

There are six statuses to choose from on the Pending Qualifications page:

Status

Description

Qualified

This means the volunteer has met the Qualification requirements and can respond to the Opportunities to which it is assigned.

Pending

This is the default status for Qualifications that require your approval. Volunteers can edit responses when they're pending.

Not Qualified

This means the volunteer hasn't met the requirements for the Qualification. Volunteers can't edit their responses with this status.

Re-submit

Use this status when a volunteer submits the wrong response to a Qualification question and needs to resubmit their answer.

Expired

This means the volunteer's Qualification has expired. With this status, volunteers can edit and resubmit their responses.

Inactive

This works the same as Not Qualified. This status means the volunteer can't view or respond to the Opportunity with the Qualifications attached. They also can't edit or update their response with this status.

Approving Qualifications

You can also approve or deny qualification responses from this area by selecting Qualified or Not Qualified from the dropdown menu under Status:

Role-Based Permissions and Functionalities

Site Managers

Can bypass Qualifications for volunteers using administrative privileges, though volunteers must still create accounts and sign waivers.

Team Leaders

Cannot bypass Qualifications. Instead, added users must complete Qualifications and register before participating.

Restricting Opportunities Using Qualifications

To ensure that only thoroughly vetted volunteers can view or respond to certain Opportunities, you can set Qualification permissions as Required to View Any Opportunities or Required to View Selected Opportunities. This adjustment ensures volunteers meet the necessary standards before accessing these details:

  1. Navigate to Volunteerism > Qualifications from the platform dashboard.

  2. Open the relevant qualification (e.g., "Background Check").

  3. Adjust the permission setting to Required to View Any Qualifications or Required to View Selected Opportunities.

    • Please note that if you select Required to View Any Qualifications, then they will have to have an approved Qualification submission before they can view any posted Opportunities.

  4. Save changes to apply the new restriction.

Setting "Required to View" permissions enhances both the relevance and security of volunteer engagement.

FAQ

Q. Why can't a volunteer see their Qualifications that need to be completed from their profile on the Qualifications tab?

A. It's possible the volunteer hasn't completed all of the registration steps within the Track they're currently registered on. You have two options to help them with this:

Option 1: Reinvite the users to the Track.

You can send an invitation link to complete the Track directly to their email:

  1. Go to Volunteerism > Users.

  2. Click the User Filter and create the filter: Volunteer > Track Status > [Track you wish to invite them to] > Track started but not finished.

  3. Click Submit.

  4. Using the Select an Action dropdown, select Send Track Invite.

  5. Select the Track and click Send Track Invite.

Option 2: Send a targeted email instead.

If you want to include a personal message, you can send an email explaining the steps they need to take to complete the Track and where to find the Qualifications.

  1. Go to Communication > Email Blast.

  2. Click the User Filter and create the filter: Volunteer > Track Status > [Track you wish to invite them to] Track started but not finished.

  3. Click Submit.

  4. Fill out the rest of the Email Blast sections and compose your message, then click Send Email Blast when ready.
