You can set capacity limits for volunteer Needs and their shifts to control how many volunteers can sign up. Once full, your site can either:
Hide the Need
Continue showing it
Show it with a waitlist option
These are site-wide settings found under Settings > Main Settings > Volunteerism. You can’t mix and match visibility—what you choose applies to all full Needs.
It’s important to note that Needs with a Is Ongoing duration type can’t have capacity limits. Capacities can only be assigned to Needs with the following duration types: Runs Until, Happens On, and Custom or Recurring Shifts.
Hiding full Needs
Go to Settings > Main Settings.
Scroll to Volunteerism and select No from the Show Full Needs dropdown.
Click Update Volunteerism Settings.
When a Need is full, it’s automatically hidden from the volunteer view. If a volunteer unregisters and a spot opens up, the Need will reappear and become available for sign-up again.
Showing full Needs—No waitlist
The default setting is to show Full Needs without a waitlist.
Go to Settings > Main Settings.
Scroll to Volunteerism and select Yes from the Show Full Needs dropdown.
Click Update Volunteerism Settings.
If a volunteer clicks on a Need with shifts, they can see how many sports are still open and how many are filled:
If a volunteer clicks on a Need that doesn't have shifts, they can still see how many spots remain for it:
Showing full Needs—Waitlist option
Go to Settings > Main Settings.
Scroll to Volunteerism and select Yes, and enable a waitlist when full from the Show Full Needs dropdown.
Click Update Volunteerism Settings.
How it works
When a volunteer clicks Waitlist on a full Need:
The button changes to Added to Waitlist (they can click again to remove themselves)
They get a confirmation by email and in-app message
They appear in the Need’s Waitlist table
To view it, go to Volunteerism > Needs, select the Need, and scroll to the bottom. The list is exportable. If a spot opens up, everyone on the waitlist is notified. Spots are filled first-come, first-served.
Waitlists are only for volunteer Needs—not events.
