Information for Sustain Site Managers about enabling waitlists for full Opportunities

By the end of this article, you will be able to:

  • Set capacity limits for volunteer Opportunities and shifts

  • Choose how full Opportunities appear to volunteers

  • Understand when capacity limits and waitlists can (and can’t) be used

Important rules to know first

  • Capacity limits are site-wide. You can’t mix visibility options—your selection applies to all full Opportunities.

  • Opportunities with a Flexible duration cannot have capacity limits.

  • Capacities can only be set on Opportunities with these duration types:

    • Runs Until

    • Happens On

    • Custom Shifts

    • Recurring Shifts

  • Waitlists are available for volunteer Opportunities only, not events.

Hiding full Opportunities

  1. Go to Settings > Main Settings.

  2. Scroll to Volunteerism and select No from the Show Full Opportunities dropdown.

  3. Click Update Volunteerism Settings.

When an Opportunity is full, it’s automatically hidden from the volunteer view. If a volunteer unregisters and a spot opens up, the Opportunity will reappear and become available for sign-up again.

Showing full Opportunities—No waitlist

The default setting is to show Full Opportunities without a waitlist.

  1. Go to Settings > Main Settings.

  2. Scroll to Volunteerism and select Yes from the Show Full Opportunities dropdown.

  3. Click Update Volunteerism Settings.

If a volunteer clicks on an Opportunity with shifts, they can see how many sports are still open and how many are filled:

Showing full Opportunities—Waitlist option

  1. Go to Settings > Main Settings.

  2. Scroll to Volunteerism and select Yes, and enable a waitlist when full from the Show Full Opportunities dropdown.

  3. Click Update Volunteerism Settings.

Now, when a volunteer clicks on a full Opportunity, they'll see the waitlist button.

How it works

When a volunteer clicks Waitlist on a full Opportunity:

  • The button changes to Added to Waitlist (they can click again to remove themselves)

  • They get a confirmation by email and in-app message

  • They appear in the Opportunity’s Waitlist table

To view it, go to Volunteerism > Opportunities, select the Opportunity, and scroll to the bottom. The list is exportable. If a spot opens up, everyone on the waitlist is notified. Spots are filled first-come, first-served.

Waitlists are only for volunteer Opportunities—not events.
