❖Heads up! This article is intended for Center Site Managers.

Your site has a few different types of users accessing it, including manager types and non-manager types.

Main User Types

Site Manager

Site Managers have full administrative control over the site, including branding, user management, communication tools, and reporting.

  • Customize site branding (colors, logo, and layout)

  • Manage volunteer schedules

  • Approve and oversee Agencies

  • Edit notification templates and send email blasts

  • Access and export canned reports

  • Add and manage Needs, Qualifications, Teams, User Groups, and users

  • Navigate site-wide tools via the Site Manager panel

  • Export data for internal or external reporting

  • Set benchmarks to recognize volunteer milestones

Agency Manager

Agency Managers maintain their Agency’s profile and post volunteer Needs and events. They cannot change site branding or settings, but can update all information related to their Agency.

  • Post and manage volunteer Needs

  • Check volunteers in and out for Needs

  • Launch and operate the Check-in Kiosk

  • Track Agency statistics

  • Edit and maintain the Agency’s profile page

  • Schedule volunteers for Needs

  • Communicate only with volunteers who have responded to their Agency’s Needs

Volunteers

Anyone can volunteer, including Site Managers and Agency Managers. Volunteers primarily respond to Needs and track their hours.

Non-manager roles are called Users on the site.

  • Search for Needs by date, location, skills, and more

  • Sign up for Needs individually or as a team

  • Receive system emails and notifications

  • View and download their volunteer resume

  • Submit and track volunteer hours

Site Supervisor

A Site Supervisor serves as the main volunteer contact, with their name and email visible on the site and included in FEMA reports as needed.

  • Display name and email on the public-facing site

  • Include contact info in FEMA reports (when applicable)

User Group Leader

User Group Leaders manage User Groups, overseeing membership and tracking group activity.

  • Add and remove User Group members

  • View User Group member names and emails

  • Access total volunteer responses and hours for the group

  • Edit User Groups with the same permissions as a Site Manager
