Overview: What are Qualifications?

Qualifications help ensure that volunteers meet specific requirements before they can view or respond to Opportunities. They are commonly used when volunteers must complete steps such as reviewing policies, submitting documentation, completing training, or meeting eligibility criteria.

Qualifications are:

  • Applied to Opportunities, not directly to user accounts

  • Submitted by volunteers as responses

  • Displayed on the volunteer’s profile with a status (Pending, Approved, Denied, or Expired)

Important: You cannot manually assign a Qualification to a volunteer. Volunteers must submit their own responses.

When to Use Qualifications

Use Qualifications when volunteers need to:

  • Sign a waiver or complete multi-step documentation

  • Review and acknowledge your organization’s privacy policy

  • Complete required training or review informational materials

  • Answer screening or eligibility questions

  • Upload proof of a current license or certification

When a Clickwrap Waiver May Be a Better Fit

If volunteers only need to acknowledge or agree to a document (such as a privacy policy) without additional questions or review steps, a Clickwrap Waiver may be a simpler option.

Clickwrap Waivers:

  • Allow you to upload a PDF

  • Can be attached directly to an Opportunity

  • Do not require creating or managing a full Qualification

Creating Qualifications

  1. Go to Volunteerism > Qualifications.

  2. Click Add New Qualification.

  3. Fill out the Create Qualification page.

  4. Click Create Qualification to finish.

Key Fields

Field

Description

Status

The default is Active, making the Qualification publicly visible once created. Set to Inactive to deactivate or hide it.

Type

Available question types may vary by site configuration. Common options include:

  • Small Text Field / Large Text Field: Volunteers provide a written response

  • Dropdown: Volunteers select from predefined options

  • Radio Button: Volunteers choose one option from a list

  • File Upload: Volunteers submit documentation (e.g., driver’s license or certification)

  • Background Check (not available on all sites): Volunteers must complete a background check before responding

  • Waiver: Volunteers must sign a waiver as part of the Qualification

Note: Waivers must be created first. If no waiver exists, a Create New Waiver button will appear.

Title

The title is displayed in the volunteer’s Qualification table, Opportunity form, and related areas.

Category*

(Not available on all sites) Helps Site Managers sort and find Qualifications when adding them to Opportunities. Not visible to volunteers and does not affect reporting.

Question

The question volunteers answer. For waiver-type Qualifications, this might read "Please sign this waiver."

Auto Approve

Controls whether Qualification responses are approved automatically.

  • No (default): Responses remain Pending until reviewed

  • Yes: Responses are approved automatically

Auto-approval can also apply to Dropdown and Radio Button types when the correct answer is selected.

Permissions

Permissions determine how Qualifications control site and Opportunity access:

  • Not Required for Opportunity Access: Volunteers can view and respond without submitting the Qualification

  • Required to View Any Opportunities: Volunteers must submit and be approved before viewing any Opportunities

  • Required to Respond to Any Opportunities: Volunteers can view Opportunities but must be approved to respond

  • Required to View Selected Opportunities: Volunteers must be approved to view specific attached Opportunities

  • Required to Respond to Selected Opportunities: Volunteers can view but must be approved to respond to specific Opportunities

  • Required to Use Site (Not Recommended): Volunteers must be approved before accessing the site at all

Duration

Determines how long a Qualification remains valid:

  • User-provided date: Volunteer enters an expiration date

  • 1 or 2 weeks: Common for short-term health attestations

  • 1 or 6 months

  • 1, 2, or 3 years

  • First of the year

  • Forever

Durations begin when the Qualification is submitted and added to the volunteer profile, not when it is approved.

Add Content Link

Toggle On to add content to a Qualification. When enabled, the Link URL and Link Text fields appear. Use this to direct volunteers to your organization’s privacy policy or other relevant pages.

Qualification Categories

Depending on your site, you may see the option to select a Category when setting up your Qualifications. These can be managed from the Qualifications area of the site.

  1. Go to Volunteerism > Qualifications.

  2. Select Click here in the Qualification Categories description.

  3. Type the Category title in the empty field and click Add Category, then Add to finish.
