Q. What is Global Profile?
A. Global Profile allows you to join multiple volunteer sites with the same email address and password. You also gain access to a new profile that tracks your engagement across platforms!
Q. Will this change how I log in?
A. Yes. The first time you login, you will be asked to verify your email address. You will also be asked to reset your password. After that, you will login like normal. The login screen will look a little different, but you will still enter your email and password like normal.
Q. Do I need to create a new email or password?
A. You will not need to change your email address, although you will need to verify it. You will be asked to change your password.
Q. Why would I want to find volunteer opportunities on another platform?
A. More platforms have more opportunities! You can search for the organziations and opportunities that most align with your passions and interests.
Q. How do I find my Global Profile?
A. Log in to any site, click your profile icon in the top right corner of your screen, then select Edit Profile. Click Update My Account to access your Global Profile.
Q. What can I do on my Global Profile?
A. You can view quick stats about your engagement across all platforms, update your basic information, reset your password, and access all sites that you have joined.
Q. Who will have access to my private information?
A. The only people who can view your private information are the managers on the sites where you have signed up to volunteer. Your information is not being shared anywhere else, and you may still deactivate your profile on any site where you no longer wish to participate.
Q. I don't have an email address. Can I still sign up to volunteer?
A. You will need to use a real, working email address to be able to verify your account. Otherwise, you will not be able to log in and manage your own volunteer account.

Q. What will happen to my data?
A. Your data will stay the same. There will be no changes or disruptions to your data.
Q. Will this change anything for me?
A. Yes. Here are the changes you will notice as a Site Manager:
You will have the same new login screen and Global Profile as the volunteers.
User profiles will have a contact card at the top of their profile.
You will no longer be able to reset the volunteer's password on their behalf. However, you can trigger a password reset email to the volunteer on their contact card in this profile.
Q. Can I merge user accounts when Global Profile is live?
A. No. The merge users function is no longer available with Global Profile.
Q. What information do new volunteers need to fill out when creating their Global Profile?
A. They will be asked their first name, last name, email address, and postal code. Once they complete this information and verify their account, they will be asked to complete any additional questions/requirements from their specific site that they are joining.
Q. How will volunteers who join my site after creating an account on different site show up for me?
A. Volunteers who originally created their account on another site will show up exactly the same as all your other volunteers! You will see their profiles in the Users page and you will have access to their responses and hours that they completed through your site.
Q. Will volunteers who join my site after creating an account on a different site still complete the requirements I have for my site?
A. If you have requirements, such as new volunteer registration questions or Qualifications, then volunteers who join your site after creating an account on a different site will still need to complete those requirements. You will be able to see how they answered those requirements in their profile from your Users page.
Q. Will this affect Galaxy Link (aka Site Connections)?
A. No, sites that share data via the Galaxy Link will not see any changes because of Global Profile.
Q. Does Global Profile change your privacy policy?
A. No. Global Profile does not change our privacy policy or compliance with privacy regulartions. Get Connected continues to comply with the European Union’s General Data Protection Regulation (GDPR), the strictest data privacy regulation currently in place, as well as Canada’s Protection of Personal Information and Electronic Documents Act (PIPEDA). Global Profile does not expose volunteer data across organizations. A volunteer’s information is only visible to the organizations they actively choose to engage with.
Q. Will this affect my Agency Managers? (Center sites only)
A. Yes. They will also have the same new login screen and Global Profile as you and volunteers. However, they will not see any changes to their data or workflows.
Q. Will this affect my own site's single sign on (SSO)?
A. No. Sites with SSO will still have their own SSO button in the sign up and log in pages.
Q. Can I still create fake accounts to test things out from the volunteer perspective?
A. Yes, but you will need to use a real email address. You can no longer create an account using @example.com. We recommend using a temporary email address, like one you can find here: https://temp-mail.org/en/
Q. Who will tell volunteers about Global Profile?
A. You can alert your volunteers to these changes using these templates if you wish.
Q. How do I tell volunteers about Global Profile?
A. You can view the steps to send an announcement about Global Profile to all users on your site in this video: Emailing Users about Global Profile
Q. What communications are going to volunteers about this?
A. None; however, Site Managers are welcome (and encouraged) to inform their volunteers via email blasts. We have created templates that Site Managers can use, as well as a video showing how to send an email blast to their volunteers.
Q. Why do the hours total look different on my site than in the Total Hours section of the Global Profile Dashboard?
A. There are a few reasons why your hours on a specific site may be different than what shows in the Total Hours section of your Global Profile dashboard. Total Hours shows the cumulated for all sites you are a part of; e.g. 5 hours on Site A and 10 hours on Site B equals 15 hours in Total Hours. The hours may also be different if any of your hours are denied, inactive, or pending.
Q. What hours are being counted in the Total Hours in the Global Profile dashboard?
A. Here are the rules:
Total hours are the number of hours you have submitted - across all sites you belong to - that have a status not equal to 'denied', 'inactive', or 'pending'. They must be an hour type of individual or be connected to an active response.
If an hour status is deactivated, that will put it in the 'inactive' state and remove it from the totals. Deactivating the response will also remove the hours.
Plus One Hours do not have a user ID added to them, so they are not displayed in totals either.
Q. Can volunteers delete their account from their GP dash?
A. No, volunteers will need to go to their individual sites to deactivate their accounts.
Q. Is there a way to download the GP dash, similar to the volunteer resume?
A. Not at this time.
Q. What happens if someone wants to join a site who doesn't have an email address?
A. Fake email accounts, like those that end with @example.com or @test.com, cannot be used by volunteers as a way to sign in and manage their account. This is because all email addresses need to be verified. Because fake email accounts do not have a real inbox to receive emails, a fake email address cannot be verified.
However, fake email addresses can still be created and managed by a Site Manager to keep accurate reporting for volunteers who do not have an email address. Although the volunteer won’t be able to log in or make changes, the Site Manager can manage everything for them, including signing them up for Opportunities and recording their hours.
