About Deactivating Waivers

Waivers can be deactivated, but additional steps are required if the waiver is attached to a Qualification.

Managing waiver qualifications correctly ensures that volunteers only interact with the most current and relevant waivers. This reduces confusion, prevents duplicate submissions, and keeps your data clean.

Best practice: If the waiver content has changed slightly, consider updating the existing waiver instead of creating and managing multiple versions.

How to Deactivate a Waiver

If a waiver is attached to a Qualification, it cannot be deactivated until it is removed from each attachment.

Step-by-step

  1. Go to Volunteerism > Volunteerism > Qualifications.

  2. Select Waiver Setup.

  3. Click the waiver you want to deactivate.

If the waiver is attached to a Qualification, the Deactivate Waiver button will be grayed out.

  1. Open the attached Qualification.

  2. Change the type of the Qualification so the waiver is no longer required.

If the waiver is attached to more than one Qualification, repeat this step for each one.

Even if a Qualification is inactive, you must still remove the waiver before it can be deactivated.

  1. Click Update Qualification.

  2. Return to Waiver Setup and reselect the waiver.

You may need to refresh your screen for the Deactivate Waiver button to become active.

  1. Click Deactivate Waiver.

  2. Confirm your selection in the pop-up window.

Important notes

  • If a volunteer is already qualified, changing the Qualification type does not remove their qualified status.

  • To fully remove it from volunteer profiles, you can:

    • Deactivate the Qualification, or

    • Change the volunteer’s status to Resubmit so they requalify

  • If you reactivate the Qualification later, it will be added back to volunteer profiles

Best practice: If you made changes to the waiver or qualification, set volunteer status to Resubmit when reactivating.

Deleting a Pending Waiver

If a waiver is pending and not attached to any Qualification:

  • Go to Waiver Setup

  • Select the waiver

  • Click Delete Waiver

This permanently removes the waiver.

How to Remove a Clickwrap Waiver from a Need

Clickwrap waivers can be removed directly from a Need.

Step-by-step

  1. Go to Volunteerism > Needs.

  2. Select the Need with the attached clickwrap waiver.

  3. Scroll to the Waiver section.

  4. Click Delete next to the uploaded waiver file.

  5. Confirm the pop-up message.

  6. Click Update Need to save your changes.

Additional details

  • You can upload a new clickwrap waiver to replace the old one

  • Only .pdf files are supported for clickwrap waivers

  • Volunteers who already completed the old waiver are not required to resubmit

If you want volunteers to resubmit a clickwrap waiver:

  • Remove their response to the Need

  • Have them respond again

Frequently Asked Questions

Q. Should I keep both old and new waiver qualifications active?
A. No. Keeping multiple active waivers can confuse volunteers. Deactivate outdated waivers or update the existing waiver content instead of creating duplicates.

Q. What happens if I don’t reorder qualifications?
A. Qualifications display in a default order. If they are not reordered, important qualifications may not appear at the top and could be overlooked by volunteers.
