  • Schedule multiple Need responses

  • Understand how responses appear and are managed

Overview

The Responses area allows you to manage volunteer participation for your Needs.

From this area, you can:

  • View who has responded and when

  • Add responses on behalf of volunteers

  • Quickly assign hours

  • Export response data or contact volunteers

Responses are displayed individually in a table. If a Need includes multiple shifts, each shift response appears as its own entry—even if the same volunteer signs up for more than one.

Note: Some sites use language overrides. You may see different terms, but functionality remains the same.

Before You Begin

  • You must be a Site Manager

  • Needs must already be created

  • Volunteers must already exist in the system

Add a Single Response

  1. Go to Volunteerism > Responses.

  2. Click Add a Response > Add a single response.

  3. Search for the Opportunity in the Opportunity Lookup field.

  4. Select the Need from the dropdown.

  5. If applicable, select a shift.

  6. Search for the volunteer in the User Lookup field.

  7. Select the volunteer from the dropdown.

  8. (Optional) Add notes in the Notes field.

    • Notes are only visible to Site Managers.

    • Use this space for internal details (e.g., preferences, restrictions, availability).

  9. Complete any required questions.

  10. Click Add User Response.

  11. A pop-up appears when the Need's shift is at max capacity.

    • Click Yes, add anyway to proceed with scheduling the overbooked shift.

    • Click Go Back to cancel.

Note: Enter at least four characters when searching in lookup fields.

Schedule Multiple Responses

  1. Go to Volunteerism > Responses.

  2. Click Add a Response > Schedule multiple responses.

  3. Select a Need from the dropdown.

  4. Choose the applicable shifts:

    • Check individual shifts, or

    • Select all using the checkbox at the top

  5. (Optional) Use filters (e.g., day of the week) to narrow results.

  6. Click Continue.

  7. Search for volunteers by name or email and click Search.

    • You can also use Search by Category.

  8. Select volunteers and click Add to List.

  9. To include more volunteers, click Add More Volunteers and repeat.

  10. (Optional) Select:

    • Message Volunteers to send a quick update.

    • Send confirmation to these volunteers to notify them automatically.

  11. Click Schedule.

  12. Confirm your selections in the pop-up.

The responses will now appear in the Responses table.
