Initial Preparation (One-Time Setup)

Before Volunteer Link activity increases, take some time to set your site up for success.

1. Review your public-facing content

  • Check your Center homepage and public description for clarity and professionalism.

  • Make sure your mission, causes, and impact are easy to understand for first-time corporate volunteers.

2. Scan your Agencies

  • Look for Agencies that may be outdated, inactive, or incomplete.

  • Make note of any Agencies that may need cleanup or follow-up.

3. Review your active Needs

  • Prioritize public, active Needs—these are what corporate volunteers will see first.

  • Check that:

    • Titles are clear and descriptive

    • Descriptions explain what volunteers will actually do

    • Dates, times, and locations are accurate

    • Minimum age, skills, or requirements are clearly stated

Continual Maintenance

Treat Volunteer Link readiness as part of your regular site upkeep.

On a monthly (or quarterly) basis:

  • Revisit your public, active Needs to ensure nothing is outdated.

  • Remove or archive Needs that are no longer accurate.

  • Check for Agencies that have gone inactive or stopped posting.

  • Make sure your site still reflects your current programs and priorities.

This continual maintenance helps:

  • Reduce confusion for corporate volunteers

  • Improve your organization’s reputation on Volunteer Link

  • Increase the likelihood of strong volunteer matches

Agency Page: What to Look For

When reviewing Agency profiles, focus on these key elements:

Must-have information

  • Clear Agency description

  • Accurate Causes selected

  • Updated contact information

  • A professional logo (if available)

Nice-to-have improvements

  • Photos of programs or volunteer work

  • Clear explanation of who the Agency serves

  • Any unique requirements for volunteers

If an Agency profile looks incomplete or outdated, flag it for follow-up with the Agency Manager.

Use the Incomplete Agencies Tab

The Incomplete Agencies tab is your best friend for cleanup.

Use this tab to:

  • Identify Agencies missing key information

  • Prioritize which Agencies need updates

  • Track progress as Agency Managers complete their profiles

Tip: Start with the Agencies that have active or frequent Needs, since these are most likely to appear in Volunteer Link.

Filter Needs by “Ongoing”

Ongoing Needs tend to stay visible in Volunteer Link for longer periods of time.

To review these efficiently:

  • Filter your Needs list by Ongoing.

  • Check whether each ongoing Need is still accurate and relevant.

  • Update descriptions, dates, or requirements as needed.

If an Ongoing Need has been unchanged for a long time, consider:

  • Refreshing the description, or

  • Replacing it with a more current opportunity.

Email your Agency Managers (recommended)

Proactively communicating with Agency Managers helps ensure consistent quality across your site.

Let them know:

  • Volunteer Link may bring new corporate volunteers to their Needs.

  • Updated profiles and clear Needs will help them attract better volunteers.

  • They can hide Needs from Volunteer Link if they prefer not to participate.

To get ready, please take a few minutes to review your Needs and Agency profile and make sure they are up to date. In particular, please check that:

  • Need titles clearly describe the opportunity

  • Descriptions explain what volunteers will actually do

  • Dates, times, and locations are accurate

  • Any requirements (age, skills, background checks) are clearly listed

  • Your Agency profile information is current and complete

Clear, up-to-date profiles and Needs will help you attract better volunteer matches through Volunteer Link.

If you would prefer that your Needs not appear to Volunteer Link volunteers, you can hide them in the Promotions and Sharing section of each Need.
