Guidance for Center Site Managers about canceling responses to Needs

  • Cancel an individual Need response

  • View and restore canceled responses

  • Adjust settings for canceled responses

Cancel a Need Response

You can remove a Need response at any time from the Responses area.

To cancel a response:

  1. Go to Volunteerism > Responses

  2. Select the X icon under the Options column

  3. Choose a reason why you want to cancel the response. You may also add a note in this section for more details

  4. Click Cancel Response to remove the response, or Cancel to keep the response.

Viewing Canceled Response

You may view all responses to Needs that you have canceled or the volunteer has canceled has canceled. To do this, click on the Canceled Responses tab.

Here, you can view:

  • The name and email of the user who responded

  • The Need that has the canceled response

  • Who canceled the response

  • Reason for canceling and the optional note

  • An option to restore the canceled response

Canceled Response Settings

Requiring a Reason

You can choose to require volunteers to provide a reason when canceling a response. To do this:

  1. Go to Settings > Response Questions

  2. Turn ON Require Reason for Response Cancellation

  3. Click Update Settings to save

Site Managers may choose to cancel a response without providing a reason if this setting is enabled.

Please note that this setting is automatically turned OFF. To require volunteers and Agency Managers to select a reason for canceling, you must enable this setting.

Adding the Reason to a Notification

Site Managers can choose to include the provided reason and note describing why the response is being canceled in the "Notification of Unregistered Volunteer" Notification.

This Notification is sent to Agency Managers and anyone in the Additional Notification Recipient(s) field for the Agency that posted the Need.

To do this:

  1. Go to Communication > Notifications

  2. Search for Notification of Unregistered Volunteer

  3. Click on the template name and scroll to the message. Add the template keys {{cancel_ reason}} and {{cancel_note}}

  4. Click Submit to save

FAQ

Can I recover a canceled response?
A. Yes! Go to the Canceled Responses tab and click the restore icon under the Options column.

Does canceling a response remove hours?
A. Yes. If hours are tied to the response, they are removed along with it.

Should I cancel or edit a response?
A. Edit a response if you just need to update details. Cancel it if the response should no longer exist.
