Templates to help Site Managers prepare their data imports

Heads up! This article is only intended for Site Managers.

By the end of this article, you will be able to:

  • Identify the available import template types

  • Understand what each template is used for

  • Determine which columns to include when preparing your data

Available Import Templates

Use the following templates when preparing your data for import into your Get Connected site.

Agency or Program

Agencies (or Programs) are areas where Site Managers create volunteer Needs or Opportunities specific to their organization.

Common columns to include:

  • Agency or Program Name (Required)

  • Manager First Name & Last Name

  • Manager Email

  • Address

  • Phone Number

  • Directions

  • EIN

  • Facebook Link

  • Hours of Operation

  • What We Do

  • Who We Are

  • Twitter Link

  • Website URL

User Group

User Groups allow volunteers to be grouped under a shared “umbrella.” This makes it easier to track engagement and coordinate participation across a larger group.

Common columns to include:

  • User Group Title (Required)

  • Description

  • Allowed Email Domains

Users

Users are individuals who have accounts on your Get Connected site.

Common columns to include:

  • First Name (Required)

  • Last Name (Required)

  • Email (Required)

  • Address

  • Phone

  • Date of Birth

  • Tags

  • Company / Company Title

  • User Groups

Needs or Opportunities

Needs (Opportunities) are volunteer activities that users can respond to and participate in.

Common columns to include:

  • Program Name (Required)

  • Need/Opportunity Title (Required)

  • Duration Type, e.g., ongoing, flexible, multi-date (Required)

  • Date (Required)

  • Description

  • Address

  • Additional Notification Recipient Emails

  • Number of Volunteers Needed

Individual Hours

Individual Hours are imported as historical records. These are linked only to a user’s account and are not associated with Agencies/Programs or Needs/Opportunities.

Common columns to include:

  • User Email (Required)

  • Hours Date Served YYYY-MM-DD (Required)

  • Number of Hours Served (Required)

  • Description

Responses & Hours

Responses & Hours are imported to associate volunteer activity with both Needs/Opportunities and Agencies/Programs.

Common columns to include:

  • User Email (Required)

  • Agency ID

  • Need ID

  • Date Hours were Completed

  • Number of Hours Served

  • Description

Please note: Agencies or Programs with Needs or Opportunities MUST exist on your site before completing this import.

Qualifications

Qualifications help to ensure volunteers meet specific requirements when responding to Opportunities. A qualification import is a way to bring over users who have already completed and passed or been approved previously, and who you don’t want to go through the qualification process again.

Qualifications can be imported for an additional cost of $75/hr (1-hour minimum).

These are typically the last imports completed in an import project.

Common columns to include:

  • Qualifications ID (Required)

  • Qualification Title (Required)

  • User Email Address (Required)

  • User Qualification Status, e.g., Approved, Declined, Pending (Required)

  • User Qualification Response (Required)

  • User Qualification Expiration Date (Required)

Q. Do I need to include every column listed?
A. No. These are examples of commonly used columns. Include only the columns marked (Required) and any fields relevant to your data.
