Getting started

What should I set up before inviting employees?

Set up your Locations and Site Design first. Locations group employees by office for tracking and reporting. Site Design is the fun part: your logo, banner, welcome message, and promos come together into a landing page that feels like your company's own. Spending a little time here means your employees get a great first impression.

Does Volunteer Link support single sign-on (SSO)?

Yes. You can work with us to connect your company's SAML login to our sign-in service, so employees can get in with the credentials they already use. This isn't set up in your site settings. Contact your implementation specialist to get started.

Employee Accounts

How do employees get access to our site?

Employee accounts can be created or connected to Volunteer Link through SSO, a user invite, or a bulk user import. Employees can't sign up on their own through a shareable link. With a bulk import, you can bring in your whole workforce at once and send everyone a welcome invitation in the same step.

What information do employees need to complete their profile?

Nothing extra. When employees sign in, Volunteer Link only needs what the Global Profile already requires, so they can get set up quickly and start exploring.

If you invite employees one at a time, the invite form also asks you to choose their Location.

Will employees get recommended opportunities based on their interests?

Not in Volunteer Link itself. Once employees connect with nonprofits and volunteer centers, those organizations may email them recommendations, so the more they volunteer, the more they may hear about.

Locations and Zip Codes

How are employees connected to their office location?

When you build a location, you enter a city, and the system matches employees to it by their zip code. It matches by distance first (about 20 miles), then by city and state, and finally by state. To include surrounding areas as well, select Include zip codes that are near this location.

You can include zip codes in your user import, or employees can add their zip code to their profile.

When you create a location, select Assign all existing employees with ZIP codes in this location to add everyone who already has a matching zip code in one step. After that, employees who add or import a matching zip code are assigned to the location automatically.

Why does the search use zip codes instead of our office locations?

Locations are an admin tool for organizing employees and reporting on their activity. Employees search by zip code so they can find opportunities near wherever they are, whether that's near home or near the office.

What time zone are opportunity start times shown in?

When a nonprofit creates an opportunity, they can choose to display its time zone. If a time zone is shown, go by that. If it isn't, assume the start time is in the time zone where the opportunity takes place.

Finding Opportunities

Where do the opportunities come from?

They come from our large network of nonprofits and volunteer centers, so your employees have plenty of ways to get involved from day one.

Can we post our own opportunities?

Yes. You can have as many free posting pages as you need, and each admin can have their own. Opportunities you post appear right alongside the rest of the network's opportunities. This is a great fit for company-hosted events or causes your company cares about that aren't already in the network.

Why can employees select only one cause at a time?

It keeps search results focused and relevant. Choosing one cause helps employees zero in on what they're looking for, and it keeps the search simple to use.

What should we do if an opportunity's details look wrong?

Reach out to the nonprofit that posted it. Their contact name, phone, and email are shown right on the opportunity page. You can also use the Contact Us link in the footer of their site, if they've added a contact email.

Teams: Volunteering Together

What's the best way to get coworkers volunteering together?

Team volunteering is one of the best parts of an employee program, and there are a few ways to set it up. If the opportunity is already in the network, you can share the link to the opportunity so coworkers sign up on their own, or you can register as a team and share your team's join link. If the opportunity isn't in the network, create it on your own posting page and share it with your coworkers. Posting page opportunities don't allow teams, so coworkers sign up individually.

Hours, Reminders, and Reporting

How are volunteer hours tracked?

Hours are tracked in the volunteer management system behind each nonprofit's site. Volunteers can log hours manually, check in and out at a kiosk, or check in and out on their phone.

Will employees get reminders before they volunteer?

Yes. Employees get a reminder email 7 days before and 1 day before their shift, unless the nonprofit has turned reminders off. Opportunities on your own posting page send one reminder on the day of the shift. Employees can turn reminders off in their communication preferences.

Where do I run reports?

In the Reports area of your admin dashboard. This is where you can see the difference your employees are making.

  • Logo: 222 × 40 pixels (width × height)

  • Banner: 1000 × 300 pixels (width × height)

  • Promo squares: 187 × 187 pixels
