User Files: Program Managers

A guide about user notes and files for Program Managers

❖ Heads up! This article is intended for Program Managers—a role available only on Amplify sites. You may also see this role referred to as Advanced Program Manager; both terms refer to the same user type.

By the end of this article, you will be able to:

  • Understand the difference between User Files and User Notes

  • Upload and share files on a user’s profile

  • Manage file privacy settings

User Files vs. User Notes

Use User Files to upload documents to a volunteer’s profile.

Files can be:

  • Public: Visible to the volunteer and managers with access to their profile

  • Private: Visible only to managers with access to the user’s profile, unless shared by link

Use User Notes to record information intended for managers only.

User Notes:

  • Are visible only to Site Managers and Advanced Program Managers

  • Are not visible to volunteers

Upload a User File

  1. Go to Volunteerism > Users.

  2. Select the user’s name.

  3. Click the Files tab.

  4. Click +Add File.

  5. Upload your file by selecting it or dragging and dropping it into the upload field.

  6. (Optional) Select This file is private.

    Files are public by default.
    Privacy settings cannot be changed after upload.
    To update privacy, delete and re-upload the file.

  7. Click Save.

Important

  • When a file is set to private, it can't be viewed by the user unless it's shared with them via a shareable link.

  • You can't edit a file's privacy status once it's uploaded. It must be deleted and re-uploaded if you want to change the privacy status for an uploaded file.

Delete a User File

  1. Go to the Files tab on the user’s profile.

  2. Click the X in the Options column for the file.

You can delete only the files you uploaded.

Share a User File

  1. Go to the Files tab on the user’s profile.

  2. Copy the share link in the Options column.

  3. Share the link as needed.

Managers with access to the user’s profile can view private files at any time.

Volunteer Access to Files

Volunteers can view public files on their profiles by:

  1. Clicking their initials or profile image.

  2. Selecting My Files.

  3. Select the file title to download it.

Private files are not visible to volunteers unless shared using a shareable link.
