Creating an Agency

How Center Site Managers create Agencies on their site

Site Managers can create Agencies for their site to post and share volunteer Needs with their community.

Getting Started

Go to Volunteerism > Agencies > click Add New Agency. Enter information in each field to personalize the Agency, then click Submit Agency to finish. Here are the fields on the Create Agency form and their descriptions and steps:

Description

Core Profile

Site Managers can choose to share volunteer Needs through Volunteer Link. Volunteer Link lets companies connect with nonprofits to promote employee-led impact in their communities.

  • Connect to Volunteer Link: Turn On to connect your site with Volunteer Link.

  • Automatically promote my opportunities on Volunteer Link by default: Turn On to automatically share your posted volunteer Needs through Volunteer Link.

Status

  • Pending: Select Pending if you want to start creating your Agency, but not share it on the site just yet.

  • Imported: When imported, an Agency is automatically set to Imported. You must activate any imported Agencies to change their statuses.

  • Active: Select this status to share the Agency live on your site after you finish setting it up.

  • Inactive: This is used to deactivate an Agency.

Agency Name

The name volunteers see when they visit the Agencies area of your site.

Primary Manager

This is the individual you want to assign as the Primary Manager for this Agency. Start typing the name of a registered user to assign them as the Primary Manager.

Nonprofit Category

Select a Nonprofit Category, which describes the organization.

Causes

Select Causes to help volunteer match with the Agency based on their interests.

EIN

Enter your organization's Employer Identification Number (EIN). If you don't have one, check the box beside I don't have an EIN.

Official Website Link

Share your organization's official, external website here.

Location

This includes Address, Address Line 2, City, State, Zip Code, and Country.

Additional Location Information

Use this area to provide important details about the location of your organization, like whether there is limited parking or parking fees, special directions, etc.

Who We Are

Highlight your Agency or Organization's history, mission statement, and/or goals in the Who We Are field.

What We Do

Share the kinds of work volunteers can expect to do and how it aligns with your mission in the What We Do section.

Agency Managers

Enter a registered user name or email to add them as an Agency Manager. The Primary Agency Manager is designated by the filled-in star by their name. To manage these:

  • Click the star to assign someone as the Primary Agency Manager.

  • Uncheck the star to remove them as a Primary Agency Manager.

  • Click the X by their name to remove an Agency Manager.

  • Click the Assume User (arrow) button by their name to assume the user's role, which lets you view the site from their point of view.

Hours of Operation*

Use this field to list any specific hours of operation for your Agency.

Social Media*

Share social media links, as applicable.

Contact Information*

Add contact information, such as phone, phone extension, email, and fax.

Point of Contact*

Add a good point of contact for the Agency in the Contact Person and Contact Title fields.

​Please note, you can opt to show or hide this information from Settings > Agency > Agency Settings > Approval > Agency Contact Information.

Additional Notification Recipient(s)*

Add Additional Notification Recipient(s) for anyone you want receiving updates about the Agency (e.g., new Need responses for the Agency's Needs).

Please note, these individuals will receive the same notifications that Agency Managers receive for this Agency. Enter each recipient's email on a separate line.

If someone no longer wants to receive these notifications, return to this area and delete their email from this field. Be sure to click Submit Agency to save your changes!

Customize Link*

Use this field to customize the end of your Agency's profile page URL.

Tags*

Add any tags that can help categorize and filter your Agencies.

Clusters*

Clusters let you tag similar Needs so they can be grouped and shared with one link. Add Clusters to the Agency so that Agency Managers can select from those Clusters when creating Needs.

Agency Video*

You can share a link to YouTube or Vimeo to share a video about your Agency.

Comments*

Any comments added here will only be visible to Site Managers.

*These items are optional fields found under Additional Options.


Photos

After you submit your Agency, you can return and add photos. Agency photos appear in a slideshow on the Agency profile page.

  1. Go to Volunteerism > Agencies.

  2. Select the Agency from the table.

  3. Scroll to the Photos section at the bottom of the Edit Agency page.

  4. You can either click and drag photos or select them from your computer.

To delete a photo, click it and select the trash icon beside Actions.
