How Sustain Site Managers create Programs

By the end of this article, you will be able to:

  • Decide how to organize Programs to support your mission

  • Set up and customize a Program’s profile page

  • Add photos and additional details to personalize your Program

Understanding Programs

A Program is an area on your site where you create volunteer Opportunities specific to your organization.


Each Program has its own profile page to highlight important details like:

  • Your organization’s mission and backstory

  • Contact and location information

  • Causes that align with your Program

You have flexibility in how you organize your Programs:

  • By location: e.g., Eastside Food Bank or Northside Food Bank

  • By task: e.g., Check-in Table Manager or Timekeeper

  • By organization name: e.g., The Giving Squad

The setup is completely up to you and should reflect your goals and mission.

Setting Up Your Programs

  1. Go to Volunteerism > Programs.

  2. Select Add New Program.

  3. Start customizing your Program!

  4. Be sure to click Submit Program when finished.

Core Profile

Let's start with the Core Profile area. Here, you establish important details like Status, Program Name, location details, etc.

Description

Status

  • Pending: Select Pending if you want to start creating your Program, but not share it on the site just yet.

  • Imported: When imported, a Program is automatically set to Imported. You must activate any imported Programs to change their statuses.

  • Active: Select this status to share the Program live on your site after you finish setting it up.

  • Inactive: This is used to deactivate a Program.

Program Name

The name volunteers see when they visit the Programs area of your site.

Nonprofit Category

Select a Category that best describes the type of organization this Program represents.

Official Website Link

Share the link to your external site, the main site for your organization.

Address Fields

Share the location of your organization. Be sure to include the complete address if you want it to appear on the Program's profile.

Note: Leaving the address fields blank or only sharing partial address information will remove both the address and Additional Location Information from the front end of the site (volunteers won't see it since it won't be displayed).

Additional Location Information

Include important details like parking instructions as applicable.

Note: For this information to appear on the Program's profile page to users, you must have included a complete address in the address fields. This means including the Address, City, State, Zip Code, and Country.

Who We Are

Share your organization's backstory, mission statement, or any other important details that highlight who you are and your goals and commitments within your community.

What We Do

Include information about the type of work you do in the community and the impact of that work. This is also a great place to share details about what volunteers can expect to do if they sign up to participate in one of your volunteer opportunities.

Additional Options

Here are the additional option fields you can complete to personalize your Program further:

Hours of Operation

Use this field to list any specific hours of operation for your Program.

Social Media Links

Share your Program's social media platforms.

Contact Fields

Include current contact information, including phone number, email, or fax. This appears on your Program profile page.

Contact Person Fields

Share a good point of contact for users. This can be someone who can answer their questions if they call or email your organization's contact numbers. There is also a Contact Title field to share the point of contact's current title as applicable.

Additional Notification Recipient(s)

Add emails for individuals to receive notifications about the Program, like the weekly digest that includes new volunteer sign-ups and Program activities. Enter each email address on a separate line.

Customize Link

Use this field to customize the end of your Program's profile page URL.

Tags

Add any tags that can help categorize and filter your Programs.

Program Video

You can share a link to YouTube or Vimeo to share a video about your Program.

Comments

Any comments added here will only be visible to Site Managers.

Photos

After you submit your Program, you can return and add photos. Program photos appear in a slideshow on the Program profile page.

  1. Go to Volunteerism > Programs.

  2. Select the Program from the table.

  3. Scroll to the Photos section at the bottom of the Edit Program page.

  4. You can either click and drag photos or select them from your computer.

To delete a photo, click it and select the trash icon beside Actions.

Please be aware that emojis are not supported in email blasts, blog posts, or other description fields on the site.

Using emojis in these areas can break the formatting and cause the rest of your text to be cut off when saving, publishing, or sending.

FAQ

Q. Why can’t I see the Program’s address on its profile page?
A. Make sure you’ve entered a full address, including Address, City, State, Zip Code, and Country.

Q. Can I hide a Program without deleting it?
A. Yes. Change the Status to Inactive to hide it from volunteers.

Q. Can I use emojis in my Program description?
A. No. Emojis can cause formatting issues and cut off your text when saving or sending.
